Overview

We commit to Responsible AI by implementing AI Lifecycle Management across design, development, deployment, operations, and continuous improvement. We ensure lawful, fair, and transparent data use, maintain human oversight, conduct risk assessment & mitigation, and uphold transparency & explainability. Our governance covers third-party & supply chain due diligence, auditability & continuous improvement, and training & awareness for all personnel. The Group provides a grievance & inquiry channel for stakeholders.

1.Purpose & Scope

This Policy enhances customer value and social trust through the safe, appropriate, and transparent use of AI (including generative AI). It applies to:

  • ・Internal operations (efficiency, decision support, product/service development)
  • ・Customer-facing services (solution delivery, consulting support)
  • ・AI use by suppliers and contractors

2.Principles for Responsible AI

  • Human Oversight
    AI supports human judgment; material decisions remain accountable to humans.
  • Lawful, Fair, and Transparent Data Use
    We comply with applicable laws and practice risk-based data protection.
  • Fairness & Safety
    We validate data and outputs and conduct bias testing; when bias is detected, we remediate promptly.
  • Transparency & Explainability
    AI-generated or AI-assisted content is clearly labeled, and the purpose and basic functionality are explained in understandable terms.
  • Security by Design
    We implement technical and organizational safeguards across the AI lifecycle.
  • Alignment with International Frameworks
    We align with global best practices (e.g., OECD AI Principles, EU AI regulation).
  • Respect for Human Rights
    We avoid and mitigate adverse human rights impacts throughout AI design, operation, and use.

3.Governance & Accountability

    The AI Steering Committee develops operational standards, conducts risk reviews, and establishes training plans. It conducts periodic reviews (at least annually) of this Policy and its implementation, reporting to the Representative Director and providing periodic updates to the Board of Directors.

4.Operational Framework

Specific operational procedures are implemented based on the following framework. Detailed procedures and standards are defined in the AI Usage Guidelines (internal policy).

  • (1) Confidentiality & IP Protection
    We protect confidential information, personal data, and third-party rights; we manage IP in accordance with applicable laws.
  • (2) Content Management
    Human review is mandatory prior to external release.
  • (3) Incident Response
    Prompt reporting, remediation, and notification to relevant parties in the event of AI related issues.
  • (4) Third-Party & Supply Chain Due Diligence
    Vendor selection includes security, privacy, and data-use terms assessment; contractors must meet equivalent standards.
  • (5) AI Impact Assessment
    Pre-deployment ethical/social impact assessment; additional review for high-risk use cases.

5.Training, Auditability & Continuous Improvement

Annual training for all personnel. Regular audits at least annually, with reporting to management. Key metrics include: training completion (target: 100%), incident count & response time, audit execution & corrective-action completion.

6.Stakeholder Engagement

We actively gather feedback from customers, employees, partners, and communities, and reflect it in policy and operations through transparent communication.

7.Social Responsibility & Sustainability

We aim to distribute the benefits of AI equitably, respecting human dignity and diversity while contributing to a sustainable society.
